Yes, ZyWin® requires the Windows® operating system. Almost any version will work. Windows 2003 Server®/Windows Terminal Services
is preferred for 4 or greater users, but ZyWin will also operate on Windows
Vista®, Windows NT®, Windows 2000®, Windows 2000 Server® or Windows XP®/Pro.
Older versions or "home" versions of Windows are not supported by Auditron.
Windows 2008 Server® has not been tested at this writing.
How much would ZyWin® cost for my practice?
Fees are dependent upon the number of providers, users, and ZyWin® modules selected. All pricing is itemized in your quotation. Auditron does not inflate the pricing to then offer a big bogus "discount". Software pricing is set and has not varied for years. We’ve conducted business like this for over 18 years. When getting quotations, be sure to insist on line itemized pricing. If a vendor will not line item price for you, it’s a big clue that
they have something to hide!
When evaluating costs, be sure to consider the TCO (Total Cost of Ownership). This includes the obvious initial cost as well as the yearly support and update fees (see below for more on support). ZyWin® offers a Single User/Single Provider solution at a lower cost than the multi-User / multi-Provider system. Additional provider and User licenses may be purchased as the practice expands.
How about product support? Updates?
The answer to these two questions is lumped together as Auditron offers Support and Update as an inseparable package. The reason is simple: The medical industry is like no other. When a service is performed, a bill must be sent to 2, 3 or more parties to get paid! Also, the regulations governing those transactions change like the weather making constant updating a mandatory ‘option’. As many practices have discovered, having a system that is not updated or supported is WORSE than having
no system at all!
Auditron’s method of electronic updating allows the individual practice to take control of when the updates are performed. Routine updates are posted several times a year which include enhancements to ZyWin®. Additional updates may be posted to insure proper claim filing as rules and regulations are issued.
How are the support costs calculated?
Like our products, the fees are set and are determined by the packages and licenses purchased. ZyWin® clients are given a special unpublished support number. When calling Auditron for ZyWin® support during business hours, you will reach a live support Technician. Auditron does not utilize voice mail for support. When calling after hours for emergency support, a live 24-hour answering service will be reached that will in turn page the support technician on call. Clients
may also fax support requests, or submit questions via the Internet.

There are no requirements as to where your hardware is purchased. However, support issues may arise if your hardware, operating system and ZyWin® are not purchased from the same vendor. Auditron can work with your favorite hardware vendor to provide a solution that works for you. If you do purchase a new system, consult us for recommendations. We know what works best.
Our practice has three different offices. Can all the offices be connected to use ZyWin® simultaneously?
Absolutely. There are several ways of connecting the offices (including via Internet) depending on distances, operating system, number of stations and printers. Other factors, like cost and speed, will affect the final decision.
My old system was a balance forward-batch system. ZyWin® is a real-time system. What’s the difference?
In a nutshell, balance forward systems are dinosaurs. The balance forward system would apply payments to the oldest outstanding invoice on the patient’s account. ZyWin® assigns a unique number to EACH service line of EACH claim. This number is utilized in the claim processing system of most major insurance processors (and all electronic processors) to provide EXACT feedback on a line-by-line basis. The main reason ZyWin® has excelled in the area of Automated Posting is due to this key feature.
What exactly is Automated Posting?
ZyWin® retrieves the ERA (Electronic Remittance Advice) file from participating carriers via modem. Upon receipt of the paper EOB or confirmation of direct deposit, the User opens the file to display the check(s) information and simply selects the matching check number. If I use ZyWin®’s Automated Posting System, how can I trust that the information posted will be accurate?
ZyWin® compares the CPT code, patient number, date of service, and amounts billed prior to posting. If there is a discrepancy between any of these, the system will not post the claim and reports this information in a posting log for manual posting or resubmission.
If I use ZyWin®’s Automated Posting System, how does the system know to submit the secondary insurance claim form for Medicare?
ZyWin®’s Automated Posting System automatically flags claims for secondary submission. If the secondary insurance is not a Medigap or automatic crossover, ZyWin® can be setup to batch prepare the secondary claim form.
There are several benefits of scheduling patient appointments in the system. One major benefit of ZAC is the tracking ability. For instance, the system will report any existing future appointments for patients when scheduling an appointment. This prevents duplicate appointment scheduling and makes it simple to find appointments for patients who misplaced their appointment card. It happens all the time. Care to guess how it’s done is a manual system?
Also, custom encounter forms can be printed. Each encounter form is numbered and tracked. When a claim is entered, the appointment and the encounter form are automatically satisfied. What's left is a list of the encounter forms that are outstanding. This may be from missing the charge entry, or for no-show, walk out, void or other reasons. A tracking system is provided for User with appropriate security levels to indicate the reason.

Don’t bet on it! ZAC is very flexible and provides the ability to enter notes on each existing slot in the appointment calendar, related or not to the appointment in the slot. The ability also exists to enter a new slot where one doesn’t exist (yep, squeeze ‘em in!), or instantly recall blank slots specified to authorized personnel for that purpose.
We have 10 providers in our practice. Each provider has a different schedule for each day of the week. Is the ZyWin® Appointment Calendar flexible enough to handle all these schedules?
ZyWin® allows the user to setup the schedules specific to each provider and each day of the week. Providers may have different schedules for each day of the week. These schedules may also be changed in the event the provider changes his/her schedule. A utility program is provider for this purpose.
Is ZyWin® capable of producing reports regarding the financial status of our practice (such as Accounts Receivables, Provider Productivity, and Insurance Productivity)?
ZyWin® offers many User customizable financial reports as well as statistical for utilization tracking. ZyWin® can also memorize reports and save these reports in a batch for later compilation/printing
We see patients enrolled in Managed Care. Is there any easy way of tracking patient referrals in ZyWin®?
Referral tracking is included in theZyWin Base System. ZyWin automatically tracks the number of visits used and those available. It also automatically imports referral numbers into claims.The ZyWin Appointment Calendar automatically reports referral status when scheduling a patient’s appointment. ZyWin offers electronic submission and retrieval of referrals for several major carriers including Aetna/US
If the medical industry submission requirements change, such as electronic formats or CMS formats, approximately how much does it cost to purchase ZyWin® program updates?
All updates are included in annual Support and Update package. Current ZyWin S&U subscribers NEVER pay for a CMS mandated upgrade.
We submit to a lot of private insurance carriers, such as Aetna, Prudential and Travelers. Can ZyWin electronically submit to any of these carriers?
